Preparing to Place Your Catering Order
Before placing your order, please be sure you have all of the following information:
  • Event name
  • Location
  • Estimated guest count
  • GL account for billing
  • Menu (including special dietary considerations)•Special linen or china needs
  • Event time (start & stop) and program details
  • Food/beverage service time(s)
  • Speakers or other activities when staff must be out of the room

Special Dietary Needs
Vegetarian? Pescatarian? Flexitarian? Vegan? Gluten Free? Dairy Free? Low Carb? Paleo? Low Sodium? Low Fat? Raw Food? Organic? Shellfish intolerant? No nuts? Hyper-seasonal? Biodynamic? Just . . . plain . . . picky? Of course! That’s why we’re here. We are happy to work with you to accommodate the dietary needs of your guests. Many menu items can easily be adapted to fit various requirements. Please discuss special considerations when you make your catering arrangements and will work with you to find a solution. The kitchen facility does process items with dairy, nuts, and gluten, so we cannot guarantee against cross-contamination for guests with severe allergies. If you have someone with severe allergies, we are happy to discuss specifics with them directly to ensure a safe (and still delicious!) outcome.

Deadlines, Late Orders & Cancellations
It’s never too early to contact us to begin planning your event. For large events (more than 100 people), orders must be received a minimum of two weeks in advance to avoid additional labor and food costs. For small events, one week is required. Trio Hospitality will make every attempt to accommodate late requests, but flexibility will be required on the part of the client based on product and staffing availability. Events booked less than five business days in advance are subject to a $50 late booking fee.

An expected guest count is needed at the time of booking. A final guaranteed guest count is due by 10:00 am three business days prior to your event and may not be reduced after that deadline. If no guarantee is received, the original estimated count will be used. Additional late additions may be accepted if possible based on the specific food and beverage ordered, but may be subject to additional charges. Events or menu items may be cancelled prior to that deadline with charge. Events or menu items cancelled later than three business prior to the event will be billed at the full estimated cost.

Delivery & Services
Menu prices include on-campus drop-off buffet service with linen for the buffet table, disposable plates and flatware. Delivery is complimentary for orders over $75, events not meeting this minimum are subject to a 10% delivery charge. China service, served (plated) meals, weddings/social events, and events requiring service staff are available for an additional charge. All catering equipment is the client’s responsibility and must remain at the drop-off location, any replacement cost for missing equipment will be added to the final invoice.

Trio Hospitality Company is the exclusive provider of food and beverage services for all events using a facility at Clackamas Community College’s Oregon City campus. Providing your own food and beverage or using an alternative catering company is prohibited unless approved, in writing, by Trio’s management.

Billing
A GL account code is required at the time of booking for all internal campus events. Trio will provide a final digital invoice following the conclusion of your event. The invoice will be sent to the client as well as the college’s business office.

For external clients renting space through the college’s Facility Reservations Office, a digital invoice will be provided once your final guaranteed guest count is received. Please bring payment via check with you to your event, payment in full is due at the time of service. Any additional charges added while on-site will receive a second invoice following the conclusion of your event and payment is due within ten business days.

Evenings & Weekends
Events requiring service after 5:00 P.M. on weekdays or anytime on Saturday and Sunday are subject to a $20 hourly service rate

Leftovers
Perishable food will be served for a maximum of two hours before being removed by our staff. Due to health department regulations, perishable leftovers may not be removed from the event site. Trio Hospitality Company is not responsible for food items removed without our knowledge or prior consent.
